The Ombuds Principles and Practice

The Ombuds practices to the Standards of the IOA with the full support of the University administration as follows;

 

Independence

The Ombuds Office operates, with full University support, outside of the normal and formal lines of authority within the University. The Ombuds has the right and power to decline or terminate services to anyone, or any entity within the University should the Ombuds Office feel that continued assistance would be inappropriate for any reason.  The Ombuds reports administratively to the Associate to The President for Diversity, with access to the President. 

 

Neutrality and Impartiality

The Ombuds does not take sides in any issue, and thus does not advocate for, or against any person, entity or the University.  The Ombuds will advocate for fairness and equity.

 

Confidentiality

The Ombuds holds all communications and the identities of all those working with the Ombuds Office in the strictest of confidence with the intent of creating a safe and secure environment for all seeking the assistance of the Ombuds  to be able to speak freely and openly.  The exception to this is when a person threatens imminent serious physical harm. 

The Ombuds Office does not receive “legal” notice on behalf of the University on any matter.  The Ombuds Office asserts, with the full support of the University, that the Ombuds owns the privilege of confidentiality that cannot be waived by any person or entity working with the Ombuds Office (visitor, respondent or other). 

 

Informality

The Ombuds Office is intended to be an alternate channel of communications within the University and is not a part of any formal process inside or outside of the University. As such, utilizing the services of the Ombuds Office is strictly voluntary.  The Ombuds "is off the record" and does not keep any records on behalf of the University.  Where records are kept, they are locked and are destroyed once the case activity has ended.
